Data deletion request
Who can use this page
Any company that has signed in to the Qarmas Client app or client portal — current clients and former (deactivated) clients alike. You do not need to sign in. The request must come from the company (owner, board member or someone authorised to act for it): we identify the company by its NIP and confirm the request with the e-mail address registered for that company.
How to request deletion
- Fill in the form below — your company's NIP, an e-mail address and phone number we can reply to, and what you want deleted (everything, or only specific items such as the app account, push notifications or uploaded documents).
- Note the reference number shown after sending. No confirmation e-mail is sent; the reference is your receipt.
- We verify and delete. We check the request against the company's registered e-mail address (we may write to it to confirm), delete what can be deleted and reply to you within 30 days, listing what was removed and what had to be kept.
Alternatively, you can send the same request by e-mail to client@accomat.com from the company's registered address, or by post to the address above.
What is deleted
- App and portal access — the company's sign-in (NIP-based access), active sessions and one-time codes / login links.
- Push notification tokens and the biometric-lock setting stored for the app.
- Portal messages, notes and requests that are not part of the accounting or payroll record.
- Contact details used only for the app or portal (e.g. notification e-mail), where no legal obligation requires us to keep them.
Deleting the app from your phone does not delete data held on our servers — use this form for that. You may also ask for only part of the data to be deleted (say so in the message).
What is kept, and for how long
We are an accounting and payroll office. Polish law obliges us to keep certain records even after a request to delete, so these are not deleted on request but only when the statutory period ends:
| Data | Retention | Why |
|---|---|---|
| Accounting books, invoices, bank statements, tax filings | 5 years from the end of the tax year | Accounting Act, Tax Ordinance |
| Payroll and employee records (contracts, ZUS, pay) | 10 years after employment ends (records from 2019); up to 50 years for older records | Labour Code, Social Insurance Act |
| Correspondence and instructions needed to prove what was agreed | Until claims are time-barred (up to 6 years) | Legitimate interest — defence of claims |
| Encrypted backups | Rotated automatically after about 5 days | Disaster recovery; deleted data disappears from backups on rotation |
Everything we hold about your company and why is described in the Privacy Policy (sections 3, 7 and 9). Employee data we process on your instruction is deleted or returned according to your service agreement.
